The Learning Better Together Coach supports process improvement initiatives under the Learning Better Together (LBT) framework to enhance patient centered care and patient-centered care and operational excellence across Open Door Community Health Centers (ODCHC). This role works closely with teams to streamline workflows, improve quality, and sustain ODCHC's Model of Care (i.e., puzzle pieces) by monitoring, developing, implementing, and refining standard processes. The coach provides guidance, training, and hands-on support to staff, helping them develop problem-solving skills and adopt best practices for continuous improvement. This position also tracks key performance indicators (KPIs), analyzes trends, and helps teams remove roadblocks that may slow down progress.

Compensation Range:

$30.00-$34.84

All new hires will begin at the base wage of this position.

Hmong and Spanish speakers who successfully pass a language exam will receive an additional .75 hourly differential to their wage.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Champion Learning Better Together (LBT) Initiatives

• Help keep LBT initiatives growing, evolving, and making a real difference at ODCHC.
• Work side-by-side with teams to simplify and standardize workflows.
• Use data to spot trends, find pain points, and recommend improvements.
• Help remove obstacles so teams can focus on what they do best-caring for our community.
• Keep everyone in the loop by sharing updates and making sure ideas turn into action.

Optimize Processes & Drive Continuous Improvement

• Analyze workflows, spot waste and inefficiencies, and brainstorm creative solutions.
• Help introduce new technologies and tools that make work easier.
• Work with teams and leadership to implement standardized processes and improvement strategies that will improve operational efficiency and impact patient care.
• Conduct process mapping workshops to document current state workflows and co-create future state designs.
• Develop easy-to-use tools, templates, and frameworks that empower teams to sustain improvements independently.
• Support big-picture changes and help teams adapt with ease.
• Stay curious and up-to-date on industry best practices.

Coaching & Capability Building

• Provide hands-on coaching and support to teams and leaders in adopting process improvements.
• Train staff on new methodologies, tools, and best practices to improve efficiency.
• Develop and facilitate interactive workshops to build a culture of learning and continuous improvement.
• Act as a resource and problem-solving partner for teams, helping troubleshoot challenges.

Data-Driven Decision Making

• Assist in developing and tracking KPIs to measure the success of improvement efforts.
• Support teams in using KPIs and performance metrics to monitor operational effectiveness and identify opportunities for improvement.
• Assist in creating and maintaining dashboards that provide visibility into efficiency gains and process bottlenecks.
• Help translate data insights into actionable strategies for performance enhancement.

Change Management & Stakeholder Engagement

• Work closely with leaders and frontline employees to drive adoption of new processes and tools.
• Act as a liaison between teams and leadership to ensure alignment on efficiency goals and priorities.
• Promote a culture of continuous improvement through communication, recognition, and reinforcement of best practices.
• Celebrate wins and document lessons learned so we can keep getting better.

QUALIFICATIONS AND EXPECTATIONS:

• Working knowledge of patient workflows, process improvement, and how data is used to drive improvements.
• Ability to build relationships, communicate effectively, and work collaboratively across all levels of the organization.
• Skilled in handling difficult or confrontational situations with professionalism, consistency, and fairness.
• Proficiency in Microsoft Office Suite, Electronic Medical Records (EMR), Excel, Power BI, and/or SQL preferred.
• Comfortable working both independently and as part of a team.
• Strong critical thinking and problem-solving skills.
• Proven time management skills with the ability to balance multiple priorities and meet deadlines.
• Ability to read, analyze, and interpret policies and procedures.
• Strong written and verbal communication skills, able to explain complex ideas clearly.
• Willingness and ability to travel throughout Humboldt and Del Norte Counties, CA, and attend national conferences as needed.
• Commitment to upholding ODCHC's policies, mission, and values.

EDUCATION AND EXPERIENCE:

• 2+ years as a Medical Assistant in an outpatient clinic or primary care setting OR
• 2+ years in a medical office role (admin assistant, medical receptionist, or patient access) with a strong understanding of clinic operations.
• Experience coaching or training peers preferred.
• Experience working with cross-functional teams or in roles requiring coordination across clinical and admin staff preferred.

CERTIFICATES, LICENSES, REGISTRATIONS:

• Lean, Six Sigma, or Process Improvement certificate preferred.

SUPERVISORY RESPONSIBILITIES: None.

SUPERVISION AND SUPPORT: The Learning Better Together Coach reports directly to the Learning Better Together Manager.

PHYSICAL REQUIREMENTS: This is largely an office-based position. The physical requirements described are representative of those needed to successfully perform the essential duties of the position.
